GrooveNexus Entertainment and Media Services Private Limited (‘Company’, ‘we’, ‘us’) operates GNCreators at gncreators.com. This Privacy Policy explains how we collect, use, store, and protect your information when you use GNCreators — whether you are a creator (a registered account holder) or a lead (a contact captured through a creator’s page, lead magnet, form, or giveaway).

2. What We Collect

2.1 GNCreators Account Data

When you create a GNCreators account, we collect the information you provide through the registration method you use, such as your email address and other required account details.

When you separately connect an Instagram Professional account, we receive the Instagram information made available through Meta’s authorisation process and the permissions you grant. This information may include your Instagram user ID, username, display name, profile image, bio and the Instagram events needed to operate the features you enable.

The information collected depends on the features you use and the permissions granted.

Billing information is collected where necessary to process your purchase. Payment processing is handled through Razorpay according to the applicable payment and privacy arrangements.

2.2 Usage Data

Pages visited, features used, session duration, clicks, and interactions with your Link-in-Bio, AutoDM rules, and lead capture surfaces. Browser type, operating system, IP address, and approximate location for security and analytics.

2.3 Instagram API Data

When you connect your Instagram account, GNCreators receives and stores via the Meta Graph API: your Instagram user ID, display name, profile picture, bio, and follower count. We also receive webhook events from Instagram for your comments, story replies, and incoming DMs — solely to operate your configured AutoDM rules. We do not use this data for advertising and do not share it with third parties beyond the infrastructure needed to run the platform.

2.4 Lead Data

When visitors submit forms, claim lead magnets, or enter giveaways on your GNCreators pages, we collect the information they provide (name, email, phone, Instagram handle) on your behalf. You are the data controller for this lead data. We are the data processor.

3. Cookies and Tracking Technologies

GNCreators uses necessary technologies to support login, security and core website functionality.

Depending on the configuration of the website and the features enabled, we may also use analytics and marketing technologies, including Google Analytics, Meta Pixel and GNLinks tracking, to measure website usage, link activity and campaign performance.

These technologies may process information such as page visits, clicks, browser/device information, referral information and campaign interactions, according to the configuration of each tool.

The optional tracking technologies used on your visit will be handled according to your choices where applicable and the relevant legal and platform requirements.

Where a consent banner is shown, you can accept or reject optional tracking there. You can also manage cookies through your browser settings. Blocking necessary cookies will prevent login.

4. How We Use Your Data

We use your data to:

(p) operate and maintain your GNCreators account;

(q) run your AutoDM rules, deliver lead magnets, and operate giveaway funnels;

(r) process payments and manage your subscription;

(s) send transactional communications — receipts, alerts, password resets;

(t) send optional marketing communications, which you can unsubscribe from at any time;

(u) improve the platform through aggregated, anonymised analytics;

(v) comply with legal obligations and enforce our Terms.

Marketing Emails and Subscription Preferences

If you choose to receive marketing communications from GNCreators, we may use your email address to send product updates, creator tips, newsletters, information about features and relevant promotional offers.

Marketing subscriptions are optional. We record and manage your marketing preferences separately from essential service communications.

You can withdraw your marketing preference by clicking the unsubscribe link in any marketing email or by updating your preferences under Profile → Privacy & communications, where available.

We will process unsubscribe requests promptly and within the applicable email-sender requirements. Once your request has been processed, we will stop sending marketing emails covered by that preference.

Unsubscribing from marketing will not necessarily stop essential transactional emails required to provide, secure or administer your account, such as password resets, payment receipts and necessary service notifications.

We may retain a limited suppression record, such as your email address and unsubscribe status, where necessary to ensure that your unsubscribe request continues to be respected.

We do not use lead contact information collected on behalf of creators or brands for GNCreators’ own marketing communications.

5. Data Sharing

We do not sell your personal data. We share data only with:

(w) Razorpay — for payment processing. Subject to Razorpay’s privacy policy.

(x) Cloud hosting and infrastructure providers — for platform operation.

(y) Analytics tools — for product usage analytics (anonymised and aggregated).

(z) Legal authorities — if required by court order, law, or regulatory obligation.

All processors are contractually required to handle data securely and only for the specified purpose.

6. Lead Data, Disconnection and Deletion

Lead information collected through your forms, lead magnets and giveaway workflows is processed to provide the lead-management features you configure. We do not use your lead contacts for our own marketing. You can delete your leads at any time from your GNCreators dashboard.

When you disconnect an Instagram account from GNCreators, everything associated with that connection is permanently deleted: its automations, Link-in-Bio page, lead magnets, giveaways, forms, lead records and analytics. This action cannot be undone.

Disconnecting an Instagram account does not, by itself, delete your entire GNCreators account or data not associated with that connection.

When you request deletion of your GNCreators account, account data and associated lead data are handled according to the deletion and retention periods described in this Policy. Lead data is purged within 30 days of account deletion, subject to any lawful retention requirements that apply.

Payment records and other records that must be retained by law are handled according to the applicable retention requirements.

7. Data Retention

Creator account data: Retained while your account is active, plus 30 days after deletion request.

Lead data: Retained until you delete it, disconnect the Instagram account it was collected through, or delete your account.

Payment records: Retained for 7 years for tax and accounting compliance under Indian law.

Analytics logs: Retained up to 24 months in aggregated, anonymised form.

8. Your Rights

Subject to applicable law, you have the right to: access the personal data we hold about you; correct inaccurate data; request deletion; export your data in machine-readable format; and withdraw consent for marketing at any time.

Marketing preferences: You can withdraw your consent to marketing emails at any time using the unsubscribe link in a marketing email or the available account communication settings. You may also contact info@gncreators.com for help with your marketing preferences.

To exercise any of these rights, email info@gncreators.com with the subject line ‘Privacy Request.’ We respond within 30 days.

9. DPDP Act 2023 (India)

GNCreators complies with India’s Digital Personal Data Protection Act 2023. As a data fiduciary, we collect and process your personal data only for the purposes disclosed in this policy and with appropriate consent or lawful basis. 10. Security

We use HTTPS/TLS for all data in transit, encrypted storage for Instagram tokens and payment data, role-based access controls, and regular security reviews. No system is completely secure. We encourage creators to use strong passwords and keep Instagram permissions current.

11. Children’s Privacy

GNCreators is not intended for use by anyone under 18. We do not knowingly collect data from minors. If you believe a minor has provided us with personal data, contact us at info@gncreators.com immediately.

12. Policy Updates

We may update this Privacy Policy when our platform or applicable law changes. Material changes are communicated via in-app notification or email. The ‘Last updated’ date at the top reflects the most recent revision.
